Transaction Coordination 

The Beeman Group’s Transaction Coordination Team is led by a team of experienced, licensed agents and an attorney who are operationally driven and focused. We are dedicated to reducing time spent on paperwork for both our institutional and retail clients. From investors purchasing hundred of homes per month to agents closing 20 homes per year, the TBG transaction team is focused on relieving agents from being bogged down in paperwork, so they can focus on what they do best: BUYING & SELLING.
 
We offer a very competitive pricing structure and include a large list of closing tasks to keep your sale on track. For institutional clients, we offer volume pricing and can include offer preparation. 

In addition to typical TC tasks, we offer boots on the ground administrative support for both retail and institutional clients. We assist with setting up open houses, vendor management, personalized closing gifts and more. Can your virtual assistant do that?

We understand the importance of trust and building a relationship, so we offer the administrative add-on package FREE for the first THREE transactions.

Retail Package: $295 per Transaction

    • Review contract for accuracy and obtain missing documents and/or signatures
    • Follow Broker procedures to submit contractual documents per Broker’s guidelines
    • Complete any MLS notification requirements
    • Send all intro email to all parties
    • Send reminders of contract deadlines, track loan status and keep all parties updated on relevant information and timelines
    • Draft the Commission Agreement, send for signatures and disburse to relevant parties
    • Manage Buyer Brokerage and Affiliated Business Disclosure
    • Gather utility information
    • Confirm lender ordered title
    • Order home inspections when needed, track appraisals and manage termite inspection
    • Draft Amendments, send for signatures, and distribute to all parties with the exception of the Amendment to Address Concerns/due diligence negotiations
    • Verify Clear to Close with the lender
    • Confirm wiring instructions have been received by Title
    • Send commission agreement to Title/Closing Attorney
    • Order home warranty and send to Attorney or Title Company
    • Request Settlement Statement and distribute to agent for review
    • Coordinate closing time & location and ensure all parties are updated
    • Close out transaction in MLS and broker platforms
    • Send complete closing package to agent via email or upload to your preferred storage location (Dropbox, OneDrive, Google Drive, etc.

Administrative & Traveling Support – packages available

    • Mobile assistant:
      • Prepare Open Houses with balloons, snacks, drinks; a licensed agent can be made available to greet your clients if needed
      • Install & remove signs
      • Place and retrieve lockboxes, even Supra
    • Schedule photos & meet the photographer onsite
    • Build & print flyers and deliver to the home for showings & open houses
    • Vendor scheduling, meeting vendors onsite, perform work checks
    • Final walk throughs – give us the list of repair items and we will walk the home for you and your client prior to closing
